Job Description
Our client is looking for a self-starter, who is organized, outgoing, motivated, and interested in building their career. This candidate will work amongst the best in the business to provide white glove service to upscale clients. This role will take over ancillary projects on a creative level. Such as support with scheduling Podcast guests, sending gifts, and creating processes for future guests. Some event planning/management for a charitable event the firm developed. Organizing and scheduling speaking and writing engagements.
Appointment Management: Oversee the owner's active appointment calendar to optimize her efficiency. This includes booking appointments, coordinating training, and managing meeting invitations.
Document Preparation: Ensure meticulous attention to detail while preparing documents and correspondence, including vendor proposals, RFPs, draft emails, and letters.
Logistics Coordination: Organize logistics for special projects, meetings, and training activities. This includes arranging travel, group reservations, transportation, and amenities.
Special Projects Support: Assist the owner with her special projects and workplans, providing both creative and administrative support.
Administrative Duties: Perform various administrative tasks, such as organizing office and home office files, managing receipts, handling inquiries, mailings, and deliveries, and executing personal errands.
Research and Procurement: Conduct research and purchase specific products and gifts for clients and employees. Prepare and send gifts as needed.
Project Management: Manage various projects in the owner's professional and personal life, including the creation of presentation materials using PowerPoint, Canva, and other tools.
Daily Responsibilities
Calendar Management: Print the owner's daily calendar, ensuring all appointments are confirmed and include necessary details such as phone numbers and Zoom links.
Meeting Reminders: Provide with a 10-minute reminder before any scheduled call or meeting.
The rate for this role is $58, 000 - 65, 000 per year. This range represents the low and high end of the compensation range for this position. Actual compensation offered will vary based on various factors including but not limited to location, level, job-related knowledge, skills, experience, and performance.
