Our client, an excellent financial services company, is looking for an experienced secretary for all front desk duties.   The job is in the Amherst area.  

General Summary:

Reporting to the Director of Operations, the person in this position will greet and assist visitors and clients.  Answer, announce and transfer incoming telephone calls.  Provide friendly, efficient service in a professional and appropriate manner.  Attend to inquiries made by telephone or in person.  Perform various clerical tasks and provide administrative support as needed.

 

Responsibilities:
Opening and Closing the front desk, conference rooms and general office facilities
Managing office calendar and appointment schedules
Data entry and organization for the firm CRM and document depository
Mail pickup/drop off and dispersion
Placing service calls as needed to various vendors
Monitoring usage and maintaining inventory of supplies for firm. Research/inquire with various vendors for best price possible
Administrating firm telephone system
Contacting Building Management regarding various maintenance requests as needed
Assisting with other duties and special projects as assigned by supervisor, including annual, quarterly and special mass mailings

High school graduate with strong PC skills.  Must have a professional appearance, possess a pleasant telephone voice and very strong interpersonal skills.  Able to work effectively without supervision.  Must be helpful, detail oriented, tolerate tedious tasks, able to perform multiple tasks, take direction, work with all personalities and possess excellent communication skills.
